AI Invoice Extraction

AI invoice extraction, from upload to structured data

Stop typing invoice details in by hand. Upload a PDF or photo and EazeeBooks pulls out the supplier, customer, dates, line items, VAT, and totals — you review the result, then save it.

How AI invoice processing works

1. Upload

Drop in a PDF, JPG, or PNG. A PDF that contains several invoices is fine — each one is detected and split out for you.

2. AI extraction

Google's Gemini 2.5 Flash model reads the document and returns labelled fields rather than raw text. There are no per-supplier templates to set up.

3. Review

The extracted data is shown for review before it's committed, so you can check it against the source and correct anything that was misread.

4. Save

The invoice is saved and linked to the right customer or supplier, ready to manage, search, and export.

What invoice data is extracted

Each invoice becomes a structured record with these fields. Anything that isn't visible on the document is left blank rather than estimated.

Invoice details
Invoice number, invoice date, due date, and currency.
Supplier (seller)
Name, Tax Registration Number (TRN), phone, email, and address.
Customer (buyer)
Name, TRN, phone, email, and address — kept separate from the supplier's own details.
Amounts and VAT
Subtotal before VAT, VAT rate, VAT amount, and the invoice total.
Line items
Every line's description, quantity, unit price, and line amount.

Manual entry vs. invoice OCR vs. AI extraction

Manual data entry means reading each invoice and typing every field and line item into your system — slow, and easy to mistype when volumes grow.

Traditional invoice OCR turns a scan into text, but that text still has to be mapped to fields, usually with a template per supplier layout that breaks when the layout changes.

AI invoice extraction reads the document the way a person would — it recognizes which number is the invoice number and which is the VAT amount, even on a layout it hasn't seen before. It can still misread a poor scan, which is why EazeeBooks keeps a review step before anything is saved.

Built for UAE invoices, VAT, and TRNs

UAE tax invoices carry details that generic OCR tools often ignore. EazeeBooks captures the supplier's and the customer's TRN as separate fields, along with the VAT rate and VAT amount, so the purchase and sales records you build from them keep the tax information intact. Invoices in other currencies are recorded in their own currency rather than forced into AED.

What happens after extraction

  • Supplier bills and customer invoices are kept as separate document types, each linked to its party — see how that works in our invoice management software.
  • Saved invoices can be opened, edited, and checked against the original document at any time.
  • Export to Excel, CSV, or PDF, or generate import files for QuickBooks and Zoho Books.
  • Processing is metered against your plan's invoice and OCR page limits, visible as you go — see pricing for the current plans.

Extraction handles the invoices you receive. To create and send your own, use the free online invoice generator, or see how it all fits together as accounting software for UAE businesses.

AI invoice extraction FAQ

What is AI invoice extraction?

AI invoice extraction uses a language model that understands document layout to read an invoice and return its contents as structured fields — invoice number, dates, parties, line items, VAT, and totals — instead of a block of recognized text you still have to sort through by hand.

How is it different from invoice OCR?

Traditional OCR converts an image into text; you or a template then have to work out which text is the invoice number, which is the total, and so on. AI extraction does that interpretation step too, so invoices from suppliers with different layouts can be processed without building a template for each one.

Which file types can I upload?

PDF, JPG, and PNG. Multi-page PDFs are supported, including a single PDF that contains several separate invoices.

How accurate is the extraction?

We don't publish an accuracy percentage, because results depend on the document — a clean digital PDF reads more reliably than a blurry photo of a crumpled receipt. The extractor is instructed to leave a field blank rather than guess, and every result goes through a review step before it's saved.

Does it pick up UAE TRNs and VAT?

Yes. The supplier's and the customer's Tax Registration Numbers are extracted as separate fields when they appear on the invoice, along with the VAT rate, VAT amount, subtotal, and total in the invoice's own currency.
